Terms and conditions
Last updated 10 October 2026
These terms are an agreement between Patholix ("Patholix", "we", "us") and the laboratory or person who creates a Patholix account ("you"). By creating an account or using the Patholix software (the "Service"), you agree to these terms.
1. The Service
Patholix is online software for running a pathology laboratory: patient registration, billing, sample tracking, result entry, approvals, reports and business reporting. It is provided as a subscription and runs in a web browser. We may improve or change features over time, and will tell you in advance about any change that removes something your plan includes.
2. Your account
- You must give accurate business details and keep them up to date.
- You are responsible for the staff accounts you create and for keeping passwords private.
- Tell us straight away at hello@patholix.com if you think your account has been misused.
3. Medical responsibility
Patholix is a record-keeping and workflow tool. It does not give medical advice, make diagnoses or check the medical accuracy of results. Your laboratory is fully responsible for its test methods, reference ranges, results, interpretations and approved reports.
The starter test list and reference ranges included in new accounts are examples. You must review them and replace them with values validated for your own methods and equipment before you issue reports.
4. Patient data
You are responsible for having a lawful basis to collect and use your patients' data, and for meeting the laws that apply to your laboratory. We process patient data only to provide the Service to you, as described in our privacy policy.
5. Plans, prices and payment
- Plans are prepaid for one month or one year. Current prices are shown on our pricing page and in the software.
- Prices in rupees are exclusive of GST, which is added at checkout where applicable. Prices in US dollars are charged through PayPal.
- Plans do not renew automatically. Renewing early or upgrading adds the new period to your remaining time.
- Each plan has limits on staff users, branches and monthly registrations. When you reach a limit, you can upgrade.
- If your plan ends, your staff cannot add new work until you renew. Your data is not deleted, and reports already issued stay available to patients.
- We may change prices for future periods. A price change never affects a period you have already paid for.
Refunds are covered by our cancellation and refund policy.
6. Acceptable use
You must not use the Service for anything unlawful; try to access another laboratory's data or our systems without permission; interfere with the Service's security or performance; upload malicious code; or resell or copy the Service without our written permission. We may suspend an account that breaks these rules, with notice where possible.
7. Your data and our software
You own the data you put into Patholix, and you can export it at any time. You give us permission to store and process it only to provide the Service to you. We own the Patholix software, brand and website. Your subscription gives you the right to use the Service, not ownership of it.
8. Availability
We work to keep Patholix available and backed up every day, but we cannot promise it will never be interrupted, for example during maintenance or problems outside our control. We will try to give notice of planned maintenance.
9. Limitation of liability
To the extent the law allows, our total liability for any claim relating to the Service is limited to the fees you paid us in the 12 months before the claim. We are not liable for indirect or consequential losses, such as lost profits or lost business.
10. Ending the agreement
You can stop using Patholix at any time by not renewing your plan. We may end this agreement with 30 days' notice, or immediately if you seriously break these terms. After your account closes, you can still export your data for 90 days.
11. Changes to these terms
We may update these terms. We will update the date at the top of this page and tell account owners about important changes by email before they take effect.
12. Governing law
These terms are governed by the laws of India. Any dispute is subject to the courts at New Delhi.
